1. Who we are

Nexora Technologies LLC ("Nexora," "we," "us") builds AI creative tools, starting with AI Headshots. This policy explains what personal information we collect through our website at nexoratechsystems.com and our apps (together, the "Services"), and how we use and protect it.

2. Information we collect

Information you give us

• Waitlist and contact details: your name and email address when you join the waitlist or contact us.
• Account details: your name, email, and login information when you create an account.
• Photos and prompts: the images you upload and any text you type to create headshots, videos, slides, or documents.
• Payment details: handled by our payment processor (such as Stripe). We receive confirmation of payment and the last four digits of your card, but we never see or store your full card number.
• Support messages: anything you send us when you ask for help.

Information collected automatically

• Usage data: pages visited, features used, and the date and time of your visit.
• Device data: browser type, device type, operating system, and IP address.
• Cookies: small files that keep you signed in and help us understand how the Services are used. You can block cookies in your browser settings, but some features may stop working.

3. Your photos and face data

AI Headshots works by analyzing the photos you upload to generate new images that look like you. Because these photos show your face, we treat them with extra care:

• Purpose: we process your photos only to create the images you request.
• No sale or public training: we never sell your photos or face data, and we don't use them to train public or general-purpose AI models.
• Deletion: uploaded photos, and any temporary model created from them, are deleted automatically within 30 days after your images are generated. You can delete them sooner from your account or by emailing us.
• Consent: you may upload only photos of yourself, or of people who have given you permission. You confirm this each time you upload.
• Your results: generated images stay in your account until you delete them or close your account.

Some U.S. states (including Illinois, Texas, and Washington) have laws about biometric information. Where those laws apply, we ask for your written consent before processing your photos, use the data only for the purpose above, and delete it on the schedule described in this section.

4. How we use information

• To provide the Services and create the content you request.
• To send you launch news if you joined the waitlist, and service messages about your account and purchases.
• To process payments and prevent fraud.
• To answer your questions and provide support.
• To improve our website and apps using usage data. When we do this we use aggregated or de-identified data, not your photos.
• To enforce our Terms of Service, keep the Services safe, and meet legal obligations.

We send marketing emails only if you've agreed to receive them, and every email includes an unsubscribe link.

5. Who we share it with

We don't sell or rent your personal information, and we don't share it for cross-context behavioral advertising. We share it only with:

• Service providers who help us run Nexora and may use your information only on our instructions: website hosting (Netlify), form and email handling (Formspree), AI image and video processing providers, cloud storage, payment processing (such as Stripe), and customer support tools.
• Legal and safety reasons: if required by law, or to protect the rights, safety, or property of our users, the public, or Nexora.
• Business transfers: if Nexora is involved in a merger, acquisition, or sale of assets, your information may transfer as part of that deal, subject to this policy.

6. How long we keep it

• Uploaded photos: up to 30 days after your images are generated, or until you delete them.
• Generated images: until you delete them or close your account.
• Account information: for as long as your account is open, and up to 30 days after you close it.
• Waitlist details: until you unsubscribe or ask us to remove them.
• Payment and tax records: for as long as the law requires, usually up to 7 years.

7. Your rights and choices

Wherever you live, you can ask us to:

• Tell you what personal information we hold about you and give you a copy.
• Correct information that is wrong.
• Delete your information, including your photos and generated images.
• Stop sending you marketing emails.

California residents have these rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, and correct, and the right not to be discriminated against for using them. We do not sell or share personal information as those terms are defined by the CCPA. Residents of other states with privacy laws, and visitors from the European Economic Area and the United Kingdom, have similar rights, which we honor.

To make a request, email support@nexoratechsystems.com from the address linked to your account. We'll confirm your identity and reply within 30 days.

8. Security

We protect your information with encryption in transit (HTTPS), access controls that limit who can see your data, and trusted service providers with strong security practices. No system is perfectly secure, so if we ever learn of a breach that affects your information, we'll notify you as the law requires.

9. Children

The Services are for people 18 and older. We don't knowingly collect personal information from anyone under 18, and our Terms don't allow uploading photos of minors. If you believe a child has given us information, email us and we'll delete it.

10. Changes to this policy

If we change this policy, we'll update the date at the top of this page. If the change is significant, we'll also email you or show a notice in the app before it takes effect.
